In the hopes of helping this along, I was the chief coordinator in  
Oregon for the West Coast Lotus  Meet 3 years ago. It was sponsored  
by the  Golden Gate Lotus club. Kyoshi Hamai was the main contact. He  
is extremely well organized and has a master spread sheet for such an  
event. Since he has done this many times the amount of work that we  
had to do was fairly easy. Setting up the Hotel, Seven Feathers  
Casino (cheap rooms ) suggesting various venues and meeting with the  
local contacts to see that all went well.

It was all quite seamless and Kyoshi is great to work with. Golden  
Gate has a  truck with all the requirements to put on track days or  
auto-cross.
If I can be of help I would be pleased to do so be it that I am  
located in Roseburg.
I think you will find that the event is at the end of the season not  
the beginning.
